Website & Technical Information
Our website and hosting services may process technical information such as your IP address, browser type, device information, requested pages, request times, error reports and security logs.
Where you consent to analytics or marketing technologies, relevant providers may also collect information about pages visited, products viewed, website interactions, cookie identifiers and advertising-related activity.
Information From Other Sources
We may receive payment confirmations from payment providers, delivery updates from couriers and messages or contact details from platforms you use to contact us.
Where someone places an order for another recipient, we may receive that recipient’s name, delivery address and relevant contact details from the person ordering.
Payment Details
Online payments are processed by the payment provider. We do not receive or store your full payment-card details through our website checkout.
We may receive transaction references, payment confirmations and payer information needed to manage the order, reconcile payments or arrange a refund.
Information On Customer Devices
When you provide a device for repair, diagnostics or data-related services, we may need limited access to information on that device to carry out the agreed work. Further details are provided in section 8.
4. How We Use Your Information
We use personal information to:

- Send marketing communications where permitted by law.
- Meet legal obligations and establish, exercise or defend legal claims.
We do not sell, rent or trade your personal information.
5. Legal Basis For Processing
The lawful basis we rely on depends on why we are using your information.
Contract & Steps Before A Contract
We use information where necessary to provide a quotation you request, process an order, carry out agreed work, arrange delivery or collection, or fulfil other contractual obligations.
Legal Obligations
We use information where necessary to comply with legal requirements, including applicable tax, accounting and consumer-protection obligations.
Legitimate Interests
Where appropriate, we use information for our legitimate interests in responding to general enquiries, maintaining customer-service records, administering our business, securing our website, preventing fraud and managing or defending claims.
Where an order is placed for another recipient, our legitimate interests may include arranging delivery and communicating necessary delivery information.
We rely on this basis only where the processing is necessary and those interests are not overridden by your interests, rights and freedoms.
Consent
We rely on consent for optional analytics and marketing technologies and for marketing communications where consent is required.
You may withdraw consent at any time. This does not affect the lawfulness of processing carried out before you withdrew it.
Information Needed To Provide Our Services
Where information is needed to fulfil an order, arrange delivery or carry out a repair, we may be unable to provide the requested service if you do not supply it. We will explain this where relevant.
Agreeing to our Terms & Conditions does not by itself constitute consent to marketing or optional tracking.
6. Cookies & Similar Technologies
Our website uses cookies and similar technologies, including local storage and tracking pixels, for essential functions and, where you consent, analytics and marketing.
Essential Technologies
Essential cookies or storage may be used for functions such as security, checkout and remembering your privacy choices.
Analytics Technologies
Where enabled and accepted by you, analytics technologies help us understand how visitors use our website and identify opportunities to improve it.
Marketing Technologies
Where enabled and accepted by you, marketing technologies such as the Meta Pixel help us measure advertising performance and understand actions taken on our website.
These actions may include viewing a product, submitting an enquiry, reserving a product or clicking a contact link. The information may be associated with browser identifiers or an account held with the provider.
Analytics and marketing technologies do not run until you give the relevant consent through our cookie controls.
You can accept or reject optional categories and change or withdraw your choices through the website’s cookie settings. You can also contact us for help.
Withdrawing consent stops future use of the optional technologies covered by that choice. It does not automatically erase information already received by a provider. You can exercise applicable rights using the provider’s privacy controls or by contacting us.
You can also manage cookies through your browser. Blocking essential cookies may affect website features. Rejecting analytics or marketing cookies does not prevent you from contacting us or placing an order.
Rejecting marketing cookies does not necessarily stop you from seeing our advertisements on other platforms, but our website will not activate the rejected tracking technologies to support that advertising.
7. Third-Party Services & Sharing
We share information where needed for the purposes described in this policy, with appropriate arrangements for its protection.
Recipients may include:
- Website hosting and IT providers:to operate, maintain, troubleshoot and secure our website and business systems.
- Email and communication providers:to receive enquiries and communicate with customers.
- Payment providers, including PayPal:to process payments, confirm transactions, investigate payment issues and arrange refunds.
- Klarna, where offered and selected:to provide the payment option you choose.
- Couriers and delivery providers:to deliver eligible products and provide tracking or delivery updates.
- Google Analytics, where enabled and accepted:to analyse website usage.
- Meta, where marketing technologies are accepted:to measure advertising and website interactions.
- Social and messaging platforms:where you contact us through those platforms.
- Accountants, insurers and professional advisers:where reasonably necessary for business administration, advice or claims.
- Manufacturers or repair partners:where necessary for an agreed repair or warranty claim.
- Public authorities or law enforcement:where disclosure is legally required or otherwise permitted by applicable law.
For deliveries, we may share your name, delivery address and relevant contact details with the delivery provider. Complete PC systems remain collection only.
We may use Google Search Console to review search visibility and website performance. It is not an advertising pixel installed on your browser.
Providers Acting On Our Behalf
Where a provider acts as our data processor, it must process information under our instructions and the applicable contractual and legal requirements.
Independent Providers
Some providers act as independent data controllers for their own activities, such as payment processing, fraud prevention or finance eligibility checks. Their privacy policies explain those activities.
You can find the relevant privacy information through the provider’s website, payment checkout or platform privacy settings.
8. Privacy During Repairs & Diagnostics
We access customer devices and their contents only as reasonably necessary for the agreed work.
Please back up important information before providing your device. Where practical, remove information that is not needed for the repair and use a temporary account or password for testing.
Please do not provide passwords or sensitive information unless they are needed for the agreed service. If the work is likely to involve particularly sensitive files, please discuss appropriate arrangements with us first.
We do not routinely copy personal files. Where copying, backup or data recovery is part of the agreed service, we will explain the relevant arrangements.
Temporary copies and access details are retained only while needed for the agreed work, necessary verification or another lawful purpose, and are then securely removed where within our control.
Authorisation to carry out repair work does not mean that you have agreed to unrelated marketing or use of your information.
9. Enquiries & Cancellation Forms
When you contact us or submit a cancellation notice, we use the information provided to identify the relevant order or service, respond to you and handle the request.
Please provide only information relevant to your request. Do not include payment-card details, passwords or unrelated sensitive information.
Where our cancellation form opens an email draft, completing the form does not by itself send a cancellation notice to us. You must send the email through your email service or contact us using another available method.
Your email provider processes the draft and sent message under its own privacy arrangements. Once we receive your message, we handle it under this policy.
Cancellation and complaint information is used to administer your request and meet related contractual or legal obligations. It is not treated as consent to receive marketing.
10. How We Store & Protect Your Information
We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse and disclosure.
These measures include, where appropriate:
- Restricting access to people who need it.
- Using access controls and secure accounts.
- Keeping software and systems maintained.
- Monitoring relevant technical records to investigate errors, suspicious activity and security incidents.
- Taking reasonable precautions when handling customer devices and records.
- Securely deleting or disposing of information when it is no longer needed.
No internet transmission or storage system is completely secure. Where a personal data breach occurs, we will assess it and meet applicable notification obligations.
11. Data Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected.
We use the following criteria to decide how long information should be retained:
- Enquiries and quotations:the time needed to respond, complete relevant follow-up and deal with related questions.
- Orders, invoices and payment records:applicable accounting and tax requirements, transaction history and relevant legal claim periods.
- Repair and warranty records:the duration of the service, relevant warranty obligations and the time reasonably needed to handle related claims.
- Complaints and cancellation requests:the time needed to resolve the matter, demonstrate the outcome and address related legal obligations or claims.
- Technical and security logs:the time reasonably needed for security, troubleshooting and investigation.
- Consent records:the time needed to demonstrate and respect your privacy choices.
- Marketing preferences:while relevant to the marketing activity. A minimal suppression record may be kept to ensure we respect an opt-out.
- Temporary repair data and access details:only while needed for the agreed work and any necessary verification, unless a further lawful reason requires retention.
Information may be retained longer where required by law or where reasonably necessary for an ongoing dispute or investigation.
When information is no longer needed, we will securely delete it or anonymise it where appropriate. Truly anonymised information no longer identifies you.
12. International Transfers
Some service providers may store or access personal information outside the UK.
Where we make a restricted international transfer, we must ensure an appropriate legal transfer mechanism applies. This may include UK adequacy regulations or approved contractual safeguards, together with any additional measures required.
Please contact us if you would like details of the countries involved and the safeguards applicable to your information, including how to obtain a copy where available.
13. Your Rights Under UK GDPR
Depending on the circumstances and the lawful basis used, you may have the right to:
- Request access to your personal information.
- Request correction of inaccurate or incomplete information.
- Request deletion of your information.
- Request restriction of certain processing.
- Object to processing based on legitimate interests.
- Receive certain information in a portable format or request its transfer to another organisation, where the legal conditions apply.
- Withdraw consent where processing relies on consent.
- Exercise applicable rights concerning significant decisions based solely on automated processing.
You can object at any time to the use of your personal information for direct marketing, including related profiling.
These rights are subject to legal conditions and exceptions. For example, we may need to retain certain transaction records to comply with legal obligations.
To exercise your rights, contactinfo@pcgamershub.co.uk.
We may request reasonable information to verify your identity. Requests are normally handled free of charge, and we will respond within the applicable legal timeframe, usually one month. If an extension or exception applies, we will explain it.
14. Marketing & Advertising
We will send promotional emails or messages only where we have the consent or other permission required by law. You can unsubscribe using the instructions in a message or by contacting us.
Where we rely on the existing-customer exception for electronic marketing, we will do so only where its legal conditions are met, including providing an opportunity to opt out when details are collected and in subsequent messages.
Necessary messages about an order, repair, collection, delivery or cancellation are service communications and may still be sent after you opt out of marketing.
Where you accept marketing technologies, advertising providers may use website interactions to measure campaigns or support advertising audiences under their own policies.
Cookie identifiers and similar information may still be personal information even where your name is not included.
You can withdraw website tracking consent through our cookie settings and manage platform advertising preferences through the relevant provider.
15. Payment Checks & Automated Decisions
Payment and finance providers may carry out automated fraud, eligibility or credit checks under their own privacy notices.
Decisions about approval for a payment or finance product are made by the relevant provider. Please consult that provider’s privacy notice for details of its processing and your applicable rights.
The cancellation form on our website prepares a notification for you to send. It does not automatically decide whether you qualify for a refund or another remedy.
16. Complaints
If you have concerns about how we handle your personal information, please contact us using the details below. We will investigate and respond.
You also have the right to complain to the UK Information Commissioner’s Office (ICO). You do not have to contact us before exercising that right.

17. External Links
Our website may contain links to third-party websites. Those websites have their own privacy policies and practices, which you should review before providing personal information.
This policy covers our handling of personal information and does not replace the privacy notices of independent third-party providers.
18. Changes To This Privacy Policy
We may update this Privacy Policy to reflect changes to our services, practices or legal obligations.
The latest version will be published on this page with an updated effective date.
Where a change materially affects how we use your information, we will provide an appropriate additional notice and obtain consent where required.
